Job Summary

This position is responsible for the coordination and execution of strategic projects on behalf of the AVP Students (AVPS) office and in support of the student experience. This position will manage and coordinate the project lifecycle including project initiation, planning, execution and closure for large scale initiatives and projects that span the scope of the AVPS portfolio and include projects such as Co-curricular record/comprehensive learner record; Program Plans; Experiential Learning.

Initiatives and projects may be 1) for the AVPS portfolio, 2) in support of campus-specific initiatives or 3) University-wide, with a wide variety of partners and stakeholders including students, staff, faculty and community. Major responsibilities include the setting of priorities and goals related to the project(s), identifying requirements, developing and monitoring project plans, schedules, work hours, budgets, and expenditures, facilitating stakeholder meetings, planning and executing project communications and ensuring that project deadlines are met in a timely manner and within budget.

Organizational Status

This position reports to the Manager, Strategic Initiatives, and works closely with the AVPS leadership team and AVPS managers.

Work Performed

Coordinates the development of projects throughout the project life cycle from initiation through to closure, anticipating & mitigating potential risks and providing tactical advice on the resolution of issues as they arise and taking action as necessary to ensure project targets are met
Develops and refines project requirements and project plans;
Defines project scope, goals and deliverables in conjunction with stakeholders;
Assembles and leads project teams;
Identifies resources, systems, policies and procedures required to launch projects;
Plans and monitors use of project resources;
Creates project schedules and tracks deliverables;
Manages issues and investigates areas of risk through use of a risk mitigation strategy;
Develops, facilitates and maintains positive and productive working relationships with project stakeholders to ensure strategic aims and objectives of the project, are continuously managed;
Monitors project milestones and deliverables to ensure projects are on time and on budget;
Investigates and participates in developing procedures, space requirements, and operational methods to meet project objectives;
Synthesizes information from various sources including stakeholder engagement, literature, best practices to inform recommendations;
Develops and implements project communications plans;
Oversees and communicates project progress;
Liaises with stakeholders and all members of the project team on relevant developments, requirements and actions of the project;
Identifies and addresses key opportunities to promote project objectives;
Prepares and presents status reports and information with respect to the success of new initiatives; recommends changes;
Takes corrective action when needed to ensure desired project performance and outcomes are achieved;
Ensures objectives, decisions, action, schedules and budget are recorded, completed on time and budget, and communicated appropriately;
Provides leadership in problem solving, project planning and management; development and execution of identified goals, priorities and objectives;
Identifies trends and exceptions and compares results to expected outcomes;
Leads and coordinates strategic projects, including services and initiatives;
Establishes project objectives, deliverables, budgets, work plans and timelines;
Develops and maintains an active network of internal and external contacts across campuses, including industry stakeholders and community partners;
Conducts stakeholder analysis and engagement plans;
Collects, analyses and summarizes information from stakeholders and others on relevant project data, and writes reports and briefing notes for project sponsors, the project team and other stakeholders as appropriate;
Liaises with stakeholders and members the campus community on relevant developments, requirements and actions of the project;
Develops and recommends policies and processes to improve efficiencies in the management and coordination of special projects;
Performs other related duties, as required.
Supervision Received

This position reports to the Manager, Strategic Initiatives.

Supervision Given

May hire, train, develop and manage auxiliary staff and student staff/volunteers on a project basis.

Qualifications

Minimum

Undergraduate degree in a relevant discipline.
Minimum of two years of related experience, or the equivalent combination of education and experience.
Preferred

Formal training (e.g. certificate) in project management, and a Project Management Professional (PMP) certification is desirable;
Considerable knowledge of project management theory and proven project experience;
Understanding and or willingness to learn about systems of oppression such as racism, colonialism, sexism, ableism and classism and how they can result in and perpetuate systemic inequalities for staff and students is an asset;
Knowledge of MS Project or other project management software tools;
Knowledge of change management theory;
Requires strong relational, analytical and facilitative perspectives in the performance of duties;
Ability to communicate effectively verbally and in writing is critical;
Ability to deal with a diverse population in a calm, courteous, and effective manner;
Demonstrated interpersonal and relationship building skills;
Ability to work in a team environment;
Demonstrated ability to work well independently and with initiative; to plan ahead and meet deadlines;
Demonstrated problem solving and critical thinking skills required;
